Technology Committee

Minutes of the meeting of January 27, 2009

The Newtown Township Technology Committee met on January 27, 2009 in the lower level meeting room. In attendance were members Ed Lipski and Richard Thompson.

Due to scheduling conflicts of members, this meeting lacked a quorum.

Park and Recreation Website Requirements, Document and Website Design

Mr. Lipski reported that he had met with Park and Recreation Director Kathy Pawlenko and Program Coordinator Megan Smith to discuss the department’s technology needs. The Department is no longer able to distribute program information in the public schools and this has had an impact on registration. Registration can only be done by phone or in person during office hours at this time. The Department is using an access program for its data base, but is having difficulty making full use of the program for generating particular reports. The Township Web site displays the Park and Recreation Brochure as a PDF file. The Department is making use of e-flyers of certain programs but the flyers only take viewers to the Township Web site.

After the discussion, Mr. Lipski said that he produced a “Requirements Document”, which he will share with the Department and the Park and Recreation Board at its next meeting.

Mr. Lipski said that he has reviewed sites sponsored by other park and recreation departments. He showed the Warminster and Northampton sites, each hosted by a third party. He reviewed the features of each, noting that if the Township were to elect to use a third party, he would prefer to use a less busy, easier to use site than Northampton’s. He has developed some sample home pages for the Park and Rec Department to review, and discussed certain information he will need from the Department to be included in the requirements document. Once he has presented the requirements document to the Park and Rec Board and Department, he would like to hold a joint meeting to further discuss the use of the access data base, with an eye toward possibly changing to another program that would work in conjunction with on-line registration. He would also like to begin investigating costs associated with development and hosting by third party of a new Web site.

Recommendations for Posting Township Board of Supervisors Videos

Mr. Lipski said that he had spoken to Supervisor Gallagher about having Township Board meetings on the Web.

Mr. Thompson agreed to investigate costs with Video Gold and to investigate whether the DVD of the meetings could be time stamped to go directly to a particular agenda item.

Technology Recommendations for the Township Building

Mr. Thompson suggested looking into wireless access for the hallway and the meeting room for the new building. He also suggested that the Committee investigate keyless entry systems for the new buildings.

Other Business

Mr. Lipski reported that the committee would have only five members going forward. The Township is announcing openings. Jonathan Schnell has been appointed but will be out of town until March.
