Minutes of the meeting of January 28, 2014
Call to Order: Mr. Davis called the meeting to order at 7:30 PM. As the meeting lacked a quorum, the committee would postpone reorganization and the minutes from the November meeting would not be approved.
Extending Wireless to Community Rooms: Mr. Schnell reported that he had researched products available to extend wireless internet connections to the community rooms. He recommended a Linksys RE 1000 MP Wireless End Range Extender, with a cost of about $65 plus installation costs. He also recommended keeping a separate network for public use, rather than extend the administration’s wireless.
Cloud Sherpas Update: Mr. Davis reported that the Township staff held a meeting with Cloud Sherpas to plan the 5 phase deployment, which will be done through a work station, not on site. The plan calls for first phasing GoogleDocs to the IT department, then to the other departments. Mr. Davis indicated that he will attend all meetings and assist the IT department in helping staff through the migration. The migration will change the Township’s address to newtownpa.gov. No hard date has been set for the migration, but he expects it shortly.
Video Gold Meeting: Mr. Davis reported that he met with Jeff Jim of Video Gold to discuss improvements to the televised supervisors meetings. Mr. Jim’s first priority is a wireless microphone for the podium. Often, speakers presenting plans step away from the podium to show exhibits, etc., and sound is lost.
Mr. Jim also discussed putting content on the public access channel. Currently, when the Supervisors meetings are not being re-televised, the channel shows meeting schedules and agendas and certain Township announcements. Mr. Jim suggested allowing advertising to offset costs of producing content.
Mr. Schnell suggested creating a template for applicants to use to project plans directly onto the television instead of focusing the cameras on plans on an easel.
Social Media Policy: Mr. Davis suggested that the Committee research whether to have a policy for employees’ use of social media. The Commonwealth has such a policy for State employees and many school districts have them.
Mr. Schnell said that this might be a matter for the solicitor, as it may involve free speech issues.
The members agreed to focus on a social media policy for the coming year. They would prepare recommendations for use of Facebook, Twitter, etc. Personal Use policy will be prepared in case the Township decides it would like to implement it.
Other Business: The members agreed to learn about retention policies for cloud based documents.
